Enhanced User Control for AI Note-Taking in Google Meet

Google Workspace continues to integrate advanced artificial intelligence capabilities across its suite of applications, aiming to streamline daily operations and enhance productivity. A recent update to Google Meet introduces more refined control for the "Take notes for me" feature, providing a more tailored experience for users and offering administrators clear management options.

Greater User Autonomy for AI Note-Taking in Google Meet

The "Take notes for me" feature in Google Meet harnesses AI to automatically generate summaries and key points from meetings. This functionality is a valuable asset for ensuring important discussions and decisions are captured accurately, even for those unable to attend or needing a quick recap.

Previously, meeting hosts were required to manually activate this note-taking capability when scheduling a call or during an ongoing meeting. The latest improvement addresses this by introducing a new toggle that empowers individual users to decide if they wish to have "Take notes for me" automatically initiate whenever they host a meeting.

This new setting provides a significant convenience, removing the need for repeated manual activation for users who frequently utilise the feature. Importantly, this toggle is set to OFF by default, ensuring that users retain full control and must actively opt-in if they desire automatic note-taking. Users can enable or disable this preference at any point within their Google Meet settings. Furthermore, hosts and selected participants maintain the ability to turn off meeting notes at any time during a call, regardless of their default preference.

Administrator Considerations and Deployment Timeline

For Google Workspace Administrators, this update includes essential controls to manage the AI note-taking feature across their organisation. Administrators possess the ability to enable or disable AI note-taking for their end users centrally, typically through the Admin Console. This ensures that organisations can align the deployment of this AI capability with their specific policies and requirements.

Regarding availability, this feature is being progressively rolled out:

  • Rapid Release domains will observe a gradual rollout, which began on 8 January 2026, and may take up to 15 days for full visibility.
  • Scheduled Release domains can expect a full rollout starting on 22 January 2026, with feature visibility typically occurring within one to three days.

This functionality is available for a range of Google Workspace editions, including:

  • Business Standard and Plus
  • Enterprise Standard and Plus
  • Google AI Pro for Education
  • Frontline Plus

This enhanced control for AI note-taking in Google Meet represents a step towards more personalised and efficient use of AI within the workspace, allowing both users and administrators to manage how these intelligent tools integrate into their daily workflows.
